How to Edit Collections

Users can enter Edit Mode on collections where they are an Owner or Collaborator.

Note: Changes made in Edit Mode will update the shared collection for everyone with access.

  • Add Content: Browse the Metric Library and add metrics to your collection

  • Edit Cards: Modify the title, description, filters, date ranges, or visualization settings on any card

  • Rearrange Cards: Drag and drop card to reorder them

  • Add Collection-Level Filters: Apply filters that will affect all cards in the collection. When you add a collection filter in Edit Mode, it will persist for all other users who view the collection.

  • Remove Cards: Delete cards that aren’t relevant for this collection

  • Add Collection Details: Give the collection a description to add meaningful context for your audience

Entering Edit Mode

When you want to make changes to a collection that will be visible to others, you'll need to enter Edit Mode:

  1. Navigate to the collection you want to edit, then click the Edit button in the upper right corner of the collection

  2. The interface will indicate you're in Edit Mode

  1. When you're finished editing, click Save to apply your changes. 

  2. Your changes will be visible to everyone who has access to this collection

Important: Changes made in Edit Mode do not create personal saved views. They simply update the cards within the collection for all users with access.

Editing Outside of Edit Mode (Personal Changes)

When you're not in Edit Mode, you can still:

  • Apply temporary filters to explore data without affecting others

  • Save personal views to your own My Views tab

  • Set up alerts and subscriptions for yourself or for others

  • Create your own collections

These changes only affect your own dashboard and won't impact what other users see.

Edit Mode vs. Personal Changes

It is important to understand the difference between changes made in Edit Mode and changes made outside Edit Mode.

Use Edit Mode when you want to change the collection itself. If you are outside Edit Mode, your actions should be treated as personal-only unless the product explicitly indicates otherwise.

Understanding the Metric Library

Users who are not Administrators will only see cards in the Metric Library that have been shared with them through collections

  1. Enter Edit Mode for the collection.

  2. Open the Metric Library

  3. Browse or search for the metric or saved view you want to include.

  4. Select the item and add it to the collection.

  5. Save the collection to publish the update

When adding content, choose items that match the purpose of the collection and support the audience using it. This helps keep collections focused, useful, and easy to navigate.

FAQ's

Can I delete collections I don't need?

Yes! You now have full control to delete any collection, including those that were previously provided by Tyler as default content. If you ever need that content back, it's always available in the Metric Library.

Can I prevent users from editing collections I've created?

Yes. When you share a collection, assign users as Viewers rather than Collaborators or Owners. Viewers can see and explore the collection but cannot make changes to it.

What happens to my access after I transfer ownership of a collection to someone else?

After transferring ownership, you will continue to be able to access the collection as a Collaborator. You cannot remove yourself from the user list, but the new owner can do so.

Can I have multiple Owners on a collection?

Yes! Collections can have multiple Owners. Each Owner has full control to edit, share, and delete the collection.

What if I want different users to see completely different collections on their dashboard?

You have full flexibility to create curated experiences:

  1. Create separate collections for different audiences

  2. Set each collection to Restricted

  3. Add only the specific users or roles who should see each collection

Each user will see only the collections they have access to, creating a personalized dashboard experience.

Can Collaborators change who has access to a collection?

Yes. Collaborators can add other Viewers or Collaborators and can change the audience from Restricted to Open or vice versa. However, only Owners can add or remove other Owners, or delete the collection.

Do I need special permissions to share collections?

All users can share collections they own. However, only users with specific permissions can set a collection's audience to Open (making it available to everyone in the organization). If you don't have this permission and need to share broadly, contact your site Administrator.
